Enabling and Using the 'Order Placement' Feature

TitleCapture makes it easy for your clients to place title orders online with just a few clicks. You’ll have a centralized view of all submissions in the Orders tab, and you’ll receive new orders instantly so nothing slips through the cracks.

Enabling the Order Placement Feature for Your Account

To enable order notifications, please follow these steps:
  1. Request activation - Email support@titlecapture.com and request that this feature be turned on. Our team will enable it internally.  
  2. Confirm who should receive email notifications of new orders
    1. Shared Inbox – Confirm the designated “orders” inbox (e.g., orders@abctitle.com) where you would like all orders sent.
    2. Escrow Officer/Title Rep – Notifications can also be emailed to the Escrow Officer/Title Rep associated with the external user placing the order.
      We recommend enabling both a shared inbox and Escrow Officer/Title Rep notifications to ensure no orders are missed.
  3. If you choose Escrow Officer/Title Rep notifications then please also confirm which Escrow Officers/Title Reps should have permission to receive order notifications. You may:
    1. Specify individual Escrow Officers/Title Reps, or
    2. Allow all Escrow Officers/Title Reps to receive notifications from their associated agents.

Receiving, Viewing, and Processing New Orders 

1. Login to your TitleCapture account then click on the Orders button which can be found at the top left hand navigation bar.  From here, you will see any pending orders submitted by customers through the TitleCapture application. (Please refer to this link for additional information for agents on how to submit orders through the application). 



2. You will be able to see the Location, Submitter (name of sender) and when it was sent (received on). From here, you can also: 

  • Search for the Order using the Search for an Order field
  • Export Orders as an Excel File using the Export as CSV button 
  • Click on the Location/Address for any Order to see the detailed view of the Order (please refer to step 3)


3. You will be able to See the attached files, the seller and buyer information and would have the ability to Reassign or Share the order

We strongly recommend for your clients to download as a pdf their estimates and quotes and attach them along with the contract and other supplementary documents to make the closings a lot more efficient and effective.


Reassigning and Sharing Orders with other Escrow Officers/Title Reps

1. Reassigning the Order allows you to assign the order to a team member or a senior closer/escrow officer


2. You can also share the orders to your team members if you'd need additional reference or insight from the rest of the team before processing the order.
